PM Scheduling

SCHEDULING:

Before scheduling, check Titan to make sure that the tech/manager doesn’t already have something on their board.  Not even glancing at Titan to make sure you aren’t double-booking is lazy. 

Make Sure the customer information is correct. Address Email, phone, correct entity or billing party.

If you are scheduling someone from another department, ask all PM’s before you schedule them.

If there is a gray bar with a customer’s name on it in Titan, that means it has been tentatively scheduled.  Don’t touch it unless approved to do so

Make sure a customer doesn’t have an existing balance.  If so, make them aware that we need to collect before we can schedule new work.

If a customer calls you and wants to schedule something specifically with a manager refer them to that manager.  The more people involved, the more confusion there will be. 

All jobs for the following day need to be scheduled by 2PM.  That means if you leave at the end of the day and don’t schedule your technicians, your technician can be taken for another job.  Starting a text message chain at 8:30PM to get guys on the schedule because you chose not to do it during business hours shows a lack of respect for everyone else’s time.

When scheduling any job over a day should be scheduled as a project and all future jobs should be booked off of the project

When scheduling a large-scale project try to break down that actual need and phases and Schedule only the man power you need for each task, and if the task is not ready don’t schedule wasted man power

When scheduling the first of a larger project it makes most sense to keep day 1 with as few people as possible, and to make it the set up day. For example the PM and the Lead on the job should be day 1

Never schedule tech or techs if materials have not already been delivered on job or received on job. Materials should be established first!
